Many companies have the position of a secretary, whose duties include, incl. and processing phone calls received by the boss and connecting the boss with the right subscribers. It happens that one secretary has several bosses whose calls she needs to process. To solve such problems, many PBXs have a function Director-Secretary. Let's consider this function in more detail using the example of Panasonic and Samsung digital PBXs.

PBX Panasonic

One or more secretaries can handle calls and check the call status of one or more bosses. For this function to work, it is necessary that both the boss and the secretary have system telephones installed, on which special buttons must be programmed.

PDN button– allows you to receive and make calls (both internal and external). Multiple PDN buttons can be programmed to allow you to receive multiple calls at the same time (hold the previous one and receive the next one).

Relatively speaking, this is a button of your own number. If there is only one such button and by phone in this moment is on a call, it will be busy for any other calls. If there are several such buttons, then this phone will be free for other subscribers and another call can be received at the time of the conversation.

Up to 8 PDN buttons can be assigned to one subscriber, thereby allowing 8 calls to be processed simultaneously. As a rule, 1-2 PDN buttons are assigned to the boss, 2 or more to the secretary.

SDN button– it stores any extension number that has a PDN button. For example, the number of the boss is assigned to the secretary on this button.
The SDN button indicator shows the current status of the corresponding extension (busy/free/on call). In addition, this button can be used to perform the following operations:

  • calling an internal subscriber with PDN (secretary calls the boss)
  • answering calls to a PDN extension (secretary answers calls to the boss)
  • holding calls and retrieving calls held by a PDN extension (boss retrieves a call held by an assistant)
  • call forwarding to an internal subscriber with PDN (the secretary connects the boss with the desired subscriber)

For one PDN subscriber, up to 8 subscribers can be assigned, who have their number registered in the SDN. Those. one boss can be assigned up to 8 secretaries with his SDN button.

When a call is made to the boss, the secretary also rings. The secretary can intercept the call directed to the boss.

You can set a call delay on the PDN and SDN buttons. For example, if you set a delay of 2 calls to the PDN button for the boss, then his phone will ring only 2 rings after the call arrives, while the secretary's phone will ring immediately. That. all calls coming to the boss first go through the secretary. Or you can do the opposite - the call from the secretary is heard if the boss does not pick up the phone after 2 calls (the secretary is set a delay of 2 calls to the SDN button)

In any case, the call can be received without waiting for the end of the delay by pressing the corresponding flashing button (PDN or SDN), because it will flash immediately after receiving a call.

Using the SDN button, it is convenient to call the corresponding subscriber (with one click of the button), switch the call to it (switching is also done with one click on the SDN button), release calls from hold set on the phone with PDN (also with one click).

These buttons greatly facilitate and simplify the interaction of secretaries and bosses, reducing all basic operations to a simple click of a single button.

There are some limitations - you cannot program different types of signals for external and internal calls on the PDN button. The call type can only be seen on the phone display.

PBX Samsung

In a Samsung PBX, this feature works a little differently.

A special button must be registered on the system phones of the boss and secretary BOSS.

In the event that the boss’s phone is busy or the Do Not Disturb mode is set on it ( DND), all new calls will go to the secretary's phone. At the same time, the BOSS button on the boss will flash red.

The secretary can transfer the received call to the boss by pressing the BOSS button (even though the boss has the Do Not Disturb mode set)

The relationship "DIRECTOR-SECRETARY" has its own distinctive feature communication between the boss and the subordinate, i.e. a responsible person, a manager with an employee, a technical executor. When selecting intercoms for this type of communication, it must be assumed that the "Director" always has more important things to do than connect and talk with the "Secretary". Therefore, the technical details of the communication process must be carefully thought out, the complexity is kept to a minimum. Namely:

Button on / off communication - large enough, convenient, tangible (does not require additional control: did you get a finger on it or not?), which you can press without particularly aiming, or even almost without looking, by touch;

During the conversation, hands should not be involved, i.e. communication should be loud, two-way, automatic, since duplex loud-speaking intercoms are capricious and practically little used, half-duplex loud-speaking communication is widely used;

When negotiating, there should not be questions like, “is it necessary to adjust the gain?”, “from what distance to talk?”, “is it necessary to get closer to the microphone?”. In order to communicate comfortably, while also doing other things, a loud-speaking intercom should provide good connection at a distance of the user from him in the range from 0.7 to 2-3 meters.

Where 0.7 m is an outstretched hand when the intercom is turned on, because it is not reasonable to place it closer to the director, negotiations on communication with the secretary are episodic, not the main occupation for him. And 2-3 m is when the manager deviated, turned away from the intercom, or even left the table, while the connection must work, the employee must hear him, otherwise the director will have to repeat the phrase with extra effort.

Conclusion: the spatial zone of high-quality communication should be configured during installation and cover the user's workspace as much as possible.

An intercom with the above properties will not hurt the secretary to have in order to quickly respond to the boss's requests without interrupting the current affairs.

Based on these considerations, the use of remote or remote microphones in intercoms "DIRECTOR-SECRETARY" is not justified, the possibility of connecting which is provided in the consoles IL-01 P 22. In the manager's office, as a rule, it is quiet, good-quality half-duplex communication can be established from a distance of two or three meters to the intercom, so neither plus or minus 30 cm, nor the wind protection of such microphones does the weather. Wind protection in desktop microphones, by the way, is designed to protect not so much from a draft, but from the breathing of a close speaking person.

The use of microphones on a stand may be necessary for half-duplex loud-speaking communication in the case of a very thin, sound-permeable partition separating its participants (for example, the CLIENT-CASHIER connection), when it is required to speak close to the microphone, because it is impossible to establish sufficient amplification of the speech path due to for the occurrence of an acoustic tie. The director is not a dispatcher, to look good against the background of a microphone with a long neck.

Communication "DIRECTOR-SECRETARY". Features of use.

Two operators are involved in the setup. The door between the office and the reception area must be tightly closed.

1. Set the volume control on the director's console to the middle position or slightly above average, and on the secretary's console, almost to the maximum, the reception level control.

2. Set the send level controls on both remotes to the middle position.

3. Turn on the connection and adjust the transmission level of the secretary's console so that the phrases pronounced in a calm voice from a distance of 0.7-1 m are reproduced on the director's console at a comfortable volume level. At the end of the adjustment, check that from a distance of 2-3 meters the speech of the "secretary" would also be perceived well by the "director", if necessary, adjust the gain (depending on the acoustics of the reception, there may be different options).

5. Adjust the transmission level of the director's console so that phrases spoken in a calm voice from a distance of 0.7-1 m sound on the secretary's console at almost the maximum possible volume. After that, if the volume of the intercom of the secretary is high, reduce the reception level on it.

6. Next, opening the door (doors) between the director's and secretary's rooms during the communication, check if there is an acoustic tie. To provoke it, lightly tap your finger on the body first of one and then of the other intercom. If at the same time there is a smooth increase in excitation, then this is not so scary, the user in such cases can interrupt the connection without leading to critical situations (a deafening squeak). With a sharp increase in the acoustic string, it is still desirable to reduce the transmission level on the device opposite to the “beeping” one.

7. In intercoms IL -01 P 22 and IL - A 211 C it is possible to set high levels for transmitting microphone signals, so check both remotes for “plugging” when receiving. This check determines the margin of stable operation with the intercom setting you have chosen. Installed devices check one by one, placing their speaker parallel to the front panel of the remote control at a distance of 10-15 cm during operation, a magazine or a book. If this causes the “swallowing” of reproduced sounds, and even more so words, then it is desirable to reduce the transmission level of the device being checked, so that later the user does not find this during negotiations, accidentally bringing an object or just a hand over the remote control.

8. Finally, check the zone of good half-duplex communication.

To do this, operators, periodically changing their location relative to the communication consoles (now approaching, then moving away), must fluently, alternately, count, pronouncing the next digit immediately after hearing the previous one. When counting, it is necessary to control the disappearance of sounds, paying special attention to the reproduction of words that begin with hissing (“four”, “six”, etc.).

The good quality of half-duplex communication is when the interlocutors, without making excessive efforts, hear each other quite loudly and legibly, exchanging phrases briskly, however, without interrupting each other.

In conclusion, don't be discouraged if, especially at the edges of user space, the results are "not great". The acoustics of the premises can be different, however, as well as the options for setting up intercoms. Communication between people is generally not an easy task, there is always a human factor in it, for example, in the form of temperament or diction, as in our case.

Intercoms provide two-way communication at a distance without the use of telephone network. Intercoms are necessarily installed at large manufacturing and transport enterprises, in business centers, office and retail premises, providing comfortable communication between the manager and secretary, director and employees, cashier and client, gas station operator and drivers, people in the elevator car and the dispatcher.

Compared to mini-ATS, traditionally used for organizing intercoms, the use of intercoms is cheaper, which ensures their wide distribution.
Intercoms can be wireless or wired. Wired-type systems use their own cabling, but some models use 220V mains as the conductive medium.

The following connection configurations are used to build intercom systems:

Radial, with connection of several subscribers to the central base
. each with each - wireless models, or connected to a common bus
. autonomous intercom systems of the "client-cashier" type

Intercoms with audio handsets are used to organize office-type intercoms, for other options - public address systems. For loudspeakers, a distinction is made between simplex, half-duplex or full-duplex equipment.

Simplex communication A connection in which information is transmitted in only one direction. This link is used to provide a notification function when there is no need to send any data back to the transmitting station.
Half duplex uses one channel for receiving and transmitting information, thus allowing either to transmit or receive information at any given time. Intercoms of this type allow subscribers to speak only in turn, manually switching from receive to transmit mode, which creates obvious inconvenience.
AT duplex communication mode the process of data transmission is carried out over two channels, which allows you to transmit and receive information simultaneously. Duplex intercoms make it possible to listen to the interlocutor and, if necessary, insert your own remarks, but since they turn out to be much more expensive, a compromise solution is often used: automatic half duplex when the equipment is in receive or transmit mode, depending on the activity of the subscriber.

In some models, the announcement / paging functions are implemented to notify selected or all subscriber stations, as well as the conference function, when the leader selects the participants in the conversation, and during the conversation each of them hears everyone else. This feature is useful for conducting operational meetings or meetings with remote employees.

Most intercoms are installed at a distance of no more than 250 m, but some models provide a communication range of up to several kilometers.

Structurally, the devices differ in the level of protection from mechanical damage and moisture. The degree of security is regulated by the IP security index (Index Protection). In this regard, intercoms for indoor or outdoor installation and intercoms with a vandal-proof outdoor panel are fundamentally distinguished.
External microphones are used for additional comfort and improved communication quality. This is especially true for the construction of conference communication systems and intercoms client-cashier.

Interphone

Usage handset allows you to keep part of the conversation confidential, and also provides a higher quality of communication, especially in rooms with a high level of noise.

Interphones are installed in residential buildings, offices or enterprises, allowing for stable two-way communication between different parts of an office complex or even a building, as well as organizing an access control system to a protected area. In addition, the interphone function is optional for audio and video intercoms.

Audio intercom

The intercom is actually an intercom with a button to open the lock. Monitors and/or audio handsets used in intercom systems may include interphone or intercom functions, providing communication between them, for example, to call the concierge / security guard or between the secretary and the office.

Selector

The selector is a device that allows you to divide the audience into those who have two-way communication (ie, can listen and speak) and those who have one-way communication (who can only listen). A well-organized intercom takes the ability to manage and notify employees to a new level and allows you to organize conferences with the participation of remote specialists.

The intercom system for medical institutions (hospitals, clinics, clinical centers, hospitals) is a special and most responsible area for the use of intercoms. High-quality and reliable communication is a guarantee that emergency calls from patients or medical staff will reach the right subscriber and the necessary measures will be taken immediately. The use of intercom, on the one hand, increases the level of control and care for patients, and, on the other hand, significantly reduces the routine work of hospital staff.

In its simplest form, the system consists of a central station installed in the duty room, a subscriber station in the nursing room, speakers and call panels in the wards. Thus, doctors and nurses can receive information from the wards, send a message to the patient or request an attendant for a loud call the right specialist. Patients, in turn, can call nurses using the call button.

Dispatch communication

Intercoms make it possible to instantly inform people in the building about the occurrence of an emergency situation and organize their actions. So, on the basis of intercoms, it is possible to provide a dispatch communication system for residential and industrial facilities. Systems of this level relate, to a greater extent, to warning means than to security systems, however, the presence of dispatching equipment allows you to raise the security system to a higher level.
